Projecturf Version 2.0 Slated for Q4′09
Recently, we have been very focused on developing the next version of Projecturf. Version 2.0 is a major overhaul and includes many of the features and enhancements that have been requested by existing customers. Here is a recent news release with a brief preview on what to expect in version 2.0:
Projecturf Version 2.0 has been developed using the latest technology and includes a streamlined workflow, an enhanced interface, and over 60 new features and enhancements. As always, these updates coincide with our vision for simple, straightforward, and easy-to-use software. Our intent is to provide tools for users to spend more work time getting stuff done and less time setting up and managing the application.
Timecard Update: Added .25 hour increments
After receiving many requests, we have included the option to record your time in fifteen minute increments in the Timecard section. This allows users to track billable and non-billable hours on smaller tasks, or to break up their work into shorter time periods. With this update, users are given more flexibility to make their Projecturf experience that much easier.
We are a customer-centric company and all customer requests receive serious consideration. Thank you for your feedback and feature requests. We are working diligently on the new and improved version of Projecturf due out later this year. All existing customers will receive a free upgrade to version 2.0!
IE6 No Longer Supported by Projecturf
We are no longer going to be supporting IE6 as of August 1st, 2009. All other versions of IE will work, including the two latest (7.0 and 8.0). Please be sure to update your browsers and notify all users, including all of your clients and staff that IE6 will no longer be supported. Additionally, this will not change access through Safari, Firefox, or any other browsers you are currently using that are modern, up-to-date browsers.
The reason for this update is that IE6 is a very old browser that does not support many of the latest technologies and programming languages we’re using to maintain and build additional features in Projecturf. This change will give us the opportunity to provide all users with the best possible product. We realize some IT departments are very strict with regards to upgrading browsers, but we can no longer support IE6 and continue to develop a next-generation product.

Keeping Project Management & Collaboration Simple and Effective
With all the different types of projects that we are constantly managing, there’s no question that we need a project collaboration and management tool for communication and efficiency. Using one like Projecturf gives us some definitive advantages over trying to manage things using email, notes, various word docs, and bloated localized software. Not only does such a tool help to give a clear vision of what we’re dealing with, but it also helps us stay organized. Just last week, a good article (http://www.freelanceswitch.com/productivity/a-guide-to-simple-project-management/) popped up in my alerts called “A Guide to Simple Project Management” by Leo Babauta that discusses some smart ways to manage projects and communicate efficiently (I pasted in parts of the article below as reference – 1 through 7). Projecturf has been very beneficial to freelance developers and designers and is uniquely positioned to help you. Below are some points I’m highlighting in reference to the article as examples on keeping projects moving quickly with clearly defined goals and expectations. These steps really save us time and enhance the productivity of everyone on the project, as well as simply make things easier.
The first thing before a project starts typically involves setting some structure around deliverables and requirements. Usually you’ll see project components change direction mid-course, but the initial setup is a critical step in order to meet the end goal for customers, clients, and co-workers. Using Projecturf, simply set up contacts in both the Address Book and Contacts page of a project, and then begin communicating from the Discussions section. Here is a good starting point for any project from Leo Babauta:
1) Clearly defined outcome. Before you even start on the project, you should work with the client to get a clear picture of the desired outcome of the project. Often, the client doesn’t even have a clear picture. But neglecting this step will lead to delays and frustrations down the line. You can communicate through phone, email, or in person, but however you do it, be sure to ask questions to clarify what the client wants, make suggestions, and get a clear picture in your head that shows you how the project will look when it’s done (of course, “look” is a term used loosely here — if the project isn’t visual, you should still have a clear picture in your mind). Once you’ve gone through this process, and have a good idea of the outcome, restate it back to the client to get his or her agreement. Now you have a clear target to shoot at.
Projecturf can be used for entire team collaboration, including discussing different topics on multiple projects. For an overview of each project, we create briefs within the Projecturf dashboard that explain the overall goals of that project. This is critical when working with clients on a project as well.
2) Set up the process. Once the outcome is clearly defined, talk to the client about the process — how you’ll work with him to manage the project. If it’s a simple project that can be done in a day, this step isn’t necessary — you can just do the project and turn it in, and revise it if the client wants revisions. But a longer-term project will require some kind of timeline and communication process, and you’ll want to be clear about this with the client. The following process is recommended, and it’s at this step that it should be communicated. A detailed timeline, however, isn’t recommended — it can be done if the client insists upon it, but detailed timelines have a tendency to fall apart after a week or two, so it should be clear that it’s a flexible timeline.
Projecturf can be used for simple to-do’s on projects, and to set important milestones to provide clear direction for everyone and help the team prioritize. The master calendar is very useful because it lets the user know what important due dates are across all projects.
3) Focus on the next action. Instead of having a step-by-step process outlined, with deadlines given to each step of the project, tell your client you want to focus on one step at a time. Now, tell the client the next step required to move the project forward (or in this case, the first step), and set a deadline for submitting that to the client. Don’t worry too much about all the other steps needed to finish the project — you’re just going to focus on the next one. That will reduce the intimidating/overwhelming aspect of a large project — just focus on one step at a time. Make sure that’s a step that can be completed in a day or less. One to three hours is ideal. If it can’t be done in less than a day, break it down into smaller steps.
Using Projecturf, you can break milestones into steps using simple tasks. There is no need for cumbersome gantt charts and spending several days setting up dependencies either. Projecturf allows users to enter tasks quickly, and they can be checked off the list once completed. This is a fast and simple way to get things done.
4) Send it to your client. Once you’ve completed that first step, send it to the client within the deadline you set up. This will show the client you’re moving along, and keep you accountable. If you don’t have to turn in a project until it’s completed, there’s no one to know that you’re procrastinating until the very end, when you cram to get it finished on time (and possibly bust deadline). But if you send each step to the client, even if it’s not finished yet, you are holding yourself accountable.
Projecturf has specific sections for freelancers. Designers can present ideas to the client in the design section, and developers can show work on various servers by bookmarking URL’s, as well as logging development progress. You can also track hours in the timecard, which includes billable hours as well as personal tracking. A helpful feature customers rave about is allowing clients to approve designs and documents directly in Projecturf. This speeds things up and eliminates unnecessary meetings. You’ll also receive automatic email notifications of all the activity on each project (and you can subscribe to the project’s RSS feeds as well). Additionally, clients and co-workers can access documents directly from the email notifications.
5) Communicate. The other great thing about sending each step of a project to the client is that you can get feedback from the client, and modify the project accordingly. This can actually make the project take longer, but in the end you’ll have a better product and the client will be happier. This continual feedback loop is actually integral to a successful project, and building it into the process makes sense.
The Discussions section comes in handy since it helps to centralize all communication. The user can easily track back without going through hundreds of emails. When there are changes discussed, the user can simply update milestones and tasks to reflect the latest discussions and all users in the discussion can quickly see what changes were made and why.
6) Focus on the next action. Now that you’ve sent the client the first step, and gotten feedback, focus on the next step. Again, focusing on one step at a time keeps it from being overwhelming. Be sure that you set a deadline, and be sure that the task can be done in 1-3 hours (or a day at the maximum). When it’s done, send it to the client for review and feedback.
The Project Completion Report gives an in-depth overview that helps to keep projects on track – including a full break-down and percent complete for each milestone. Also, your clients are able to see what you are working on and the progress your team is making. Projecturf offers private document sharing for items deemed confidential. In our next release, Projecturf will include a variety of additional privacy features for customers who wish to use them.
7) Repeat until completion. You get the idea. Just keep focusing on one step at a time, setting a deadline for each step as you go along, and sending the completed step to the client. This will keep you on top of things and running smoothly, without the need for a boss.
Projecturf helps users stay on task and meet deadlines. Customers also find that they spend fewer hours on the phone explaining each step of the process and getting feedback from clients. This helps complete projects much quicker and keeps the team on the same page. Clients find it extremely helpful in keeping them organized and more productive throughout the process!

Highest Level of Security – Extended Validation Certificate Issued
Projecturf has recently been approved for and we have now implemented the highest level Secure Socket Layer (SSL) available on the Web today. Extended Validation Certificates (EV SSL), have recently become available to offer a much greater level of security to websites, while giving users the highest level of trust.

Network Solutions says the bottom line is that EV Certificates are the highest level of SSL Certificates on the market today. Wikipedia further explains,
“An important motivation for using digital certificates with SSL was to add trust to online transactions by requiring website operators to undergo vetting with a certificate authority (CA) in order to get an SSL certificate. However, commercial pressures have led some CAs to introduce “domain validation only” SSL certificates for which minimal verification is performed of the details in the certificate.
Most browsers’ user interfaces did not clearly differentiate between low-validation certificates and those that have undergone more rigorous vetting. Since any successful SSL connection causes the padlock icon to appear, users are not likely to be aware of whether the website owner has been validated or not. As a result, fraudsters (including phishing websites) have started to use SSL to add credibility to their websites.
By establishing stricter issuing criteria and requiring consistent application of those criteria by all participating CAs, EV SSL certificates are intended to restore confidence among users that a website operator is a legally established business or organization with a verifiable identity.”
In a nutshell, this means a few things for our users. First, you are assured that Projecturf is a viable entity (thoroughly checked by a Certificate Authorization agency and lawyers) that protects your privacy. Second, when using Projecturf, your activity and data will be kept safe from prying eyes at all times using the highest level of SSL technology available today (only a small percentage of modern sites use EV SSL because it’s fairly new and expensive, but it offers the most security you can obtain).
We wanted to make you aware of this upgrade. It’s been implemented on all accounts automatically and part of our continued efforts to protect your privacy, your data, and provide the trust and confidence you need to manage projects and data online.
Projects Enhancement – Due Date Tracking
We just released a new addition to the projects page after receiving feedback from our users. In order to better manage and track your project deadlines, we’ve added a due date field for each project. This should help when working on multiple projects across different teams by having a clear snapshot of what’s due and when. This is separate from the milestones and tasks due dates which roll up under your projects. To update the due date of one of your projects, just go to the projects settings page and quickly choose it.
We are very excited about the current Projecturf platform, especially the feature set, workflow, and application design. However, we have a lot of big changes planned in 2009! Stay tuned
Our New Website Sports an Updated Look & Free Trial without Credit Card
We have just released our new website. This update coincides with our latest Projecturf application releases and has some important features that we’d like to discuss. The new website is easier to navigate with fewer pages while providing a better overview and understanding of the application. We have developed a refreshed ‘look and feel’ that is more consistent with our overall brand. This includes an animated screenshot walkthrough of all the main sections in Projecturf on the homepage, a stylish new logo that signifies the simplicity of our product, a quick video tour, and a clean layout of the important features.
For those who want a taste of our product before buying, our newly created Free Trial includes all the features of any paid plan (free trial users are restricted to 2MB of file storage and can only manage a single project) and does not require a credit card to sign up. We have included a sample project with our free trial to demonstrate the simplicity, flexibility, and power of Projecturf in managing your projects.
The other big change is with our pricing plans. Since all paying plans include all features, we reduced the number of plans to make it easier for customers to decide. The new plans include the Start-Up plan at 15 projects, the Business plan at 40 projects, and the Enterprise plan with unlimited projects. Current customers will remain on their old plans until they decide to upgrade or downgrade.
Also, there are a few minor updates to the application to make it easier to manage your projects. One of these updates is that we now included the milestone date when creating a task and associating it with a milestone, making it easier to assign a date to the task the corresponds to the milestone.

Another Feature Release! Version 1.6 includes Duplicating Projects
Duplicate a Project
After receiving many requests for adding multiple Milestones and Tasks at once, we’ve developed a solution and just released it for all customers on paid accounts! For users with similar tasks and milestones on different projects, we created the ability to duplicate a project with the click of one button. As an admin, select your projects page and click the plus sign to add a project. In the box, you will type in the name of your new project and select the other project you are duplicating from the drop down menu right below the text box. Click add, and you now have a duplicate project with all the same Milestones, Tasks, Project Briefs on the Dashboard, and Contacts!
Here are a couple of beneficial ways to use this new feature and save yourself extra time -
If you need to create a similar project to an existing one, you are ready to go without re-inputting all of your tasks and milestones. Just make the few changes you’ll need on this project and you’re good to go!
Use it as a dummy project (in other words a master list of milestones and tasks) so that you can start with this list on any project where you may need some or all of the same tasks and milestones.

Major Projecturf Updates in Version 1.5
Our much-anticipated update is finally here! In response to all of our users requests over the last several months, we have just released a new update of Projecturf. We have been working diligently to provide you with the best features to effectively manage your projects; while at the same time staying true to our core functionality, workflow, and design. Some major enhancements listed below include a dynamic gantt chart, associating tasks with milestones, and a newly developed business tool called the project completion report. All Projecturf users on paying plans receive every feature, including the ones released in this update:
Ability to apply multiple filters and sorts to Tasks & Milestones
You can drill down to get the data you need by utilizing multiple filters. Users may now apply a filter to a previous filter. These filters include milestones, priority, and responsibility. At each level applied, users may sort by any of the column categories.
Associate any task with a milestone
The Milestone section shows the number of associated tasks. Clicking the associated tasks link takes you to the tasks page and automatically filters by that task. You can also filter by milestone on the task page directly to see the tasks that are associated with a particular milestone.
Re-organized menu items in navigation for easier use
We re-organized the icons on the top to better suit the workflow of your projects. Milestones and tasks are next to each other for consistency.
Added a Tools section with new reporting tools
This is a completely new section designed for tracking and reporting on any project. Some benefits include managing resource allocations, getting graphical representations of tasks and milestones, and printing reports that will help you hit deadlines.
Created a Project Completion Report with percentages to track complete project progress
In the new tools section, there is a link to our new Projects Completion Report. Here you will find all the important aspects of your projects including project status, due dates, percent complete, milestones, and all associated tasks. There is a statistical summary at the bottom that provides a percent complete analysis of your project and a company header with project status info at the top.
Percent complete for each milestone is based on the number of tasks completed divided by the total number of tasks for that milestone. Whereas, percent complete for the project is based on the percent complete of each milestone divided by the total number of milestones. This report improves the project planning process by providing a quick view of all deadlines and time allotted, current milestone completion status, and insight into what team members are working on at that time.
Added a Gantt chart for Milestones and Tasks with ability to dynamically change date range, as well as link directly to milestone or task
Adding the Gantt chart to the tools section is a critical and major update to Projecturf. From this chart, you may select any six month range of your project milestones, associated tasks, dates, duration, and responsible party. Use your mouse to hover over any timeline or tasks, and the details are displayed. Also, users may click on the task or milestone and jump to the task or milestone page to edit them direclty.
Added tool tips on all icons throughout application
When hovering your mouse over any icons throughout the application, the browsers tooltip will now display the type of file or icon it is as additional help when using Projecturf.
Changed Project Brief icon to new one on dashboard to enhance the design
Project link in email notifications now open directly to corresponding project and section
When receiving email notifications about any activity from a project, the link in the email now opens directly to the cooresponding project and section, making it much quicker to view and respond to the latest activity in the correct project. This helps those of you managing many projects go to the section by eliminating clicks.
Task email reminders now contain dates and milestone associations
Created new My Alerts section to manually turn on/off email alerts in each section per project
Email notifications of activities on all projecsts are turned on by default. Users can now manage those alerts per project and per section. As an example, if you don’t want to receive notifications about new tasks on project B, then you can turn the task notifications off for project B in my alerts section.
Added start and end dates to tasks
Adding start / end dates to tasks is optional. You may choose to add only a start or an end date. These will show up in the Tools section when associated with a milestone. Keep in mind that the start and end dates are also used on the gantt chart in the Tools section. Therefore, if no start and end dates exist, the gantt chart will display your tasks with the same dates used on the associated milestone.
